Sharing Calendars with Family: So Everyone Stays in the Loop
Coordinating schedules with family used to mean phone calls, sticky notes on the fridge, and hoping everyone remembered. Shared digital calendars make this much simpler — every family member can see what's planned, add their own events, and stay connected without a single phone call needed.
Here's how to set one up on iPhone or Android.
Why a Shared Family Calendar Is Useful
- Grandchildren's recitals, games, and school events show up automatically
- Doctor appointments can be added so family knows when to offer a ride
- Holiday plans and family gatherings are visible to everyone at once
- No more "I didn't know about that!" — everyone sees the same information
- Family members in different states or countries stay informed in real time
Option 1: Shared Apple Calendar (Best for iPhone Families)
If most of your family uses iPhones, the built-in Calendar app makes sharing easy.
Creating a shared calendar:
- Open the Calendar app on your iPhone
- Tap Calendars at the bottom
- Tap the ⓘ (info) button next to an existing calendar, or tap Add Calendar to create a new one (name it something like Family)
- Tap Add Person under Shared With
- Enter the Apple ID (email address) of each family member you want to invite
- Tap Add — they'll receive an invitation to join the shared calendar
Adding events:
- Create a new event as usual
- Make sure the Calendar field shows your shared family calendar
- Everyone with access sees the event immediately
Option 2: Google Calendar (Best for Mixed iPhone/Android Families)
Google Calendar works on both iPhone and Android, making it the best choice when family members use different types of phones.
Setting up Google Calendar on iPhone:
- Download Google Calendar from the App Store (free)
- Sign in with your Google (Gmail) account
Creating a shared calendar:
- On a computer, go to calendar.google.com
- In the left sidebar, click the + next to Other calendars
- Click Create new calendar
- Name it (e.g., Family Calendar)
- Click Create Calendar
- Click the three dots next to the new calendar → Settings and sharing
- Under Share with specific people, add family members' Gmail addresses
- Set their permission to Make changes to events so they can add their own
- They'll receive an email invitation to add the calendar
On mobile:
After being invited, family members open Google Calendar on their phone — the shared calendar appears automatically.
Tips for a Well-Run Family Calendar
- Create separate calendars for different things — one for medical appointments, one for family events, one for grandchildren's activities. Each can be a different color.
- Add a note to events explaining what you need — for example: "Knee surgery pre-op — would appreciate a ride"
- Set reminders — each person can set their own reminder for any event
- Keep it up to date — delete events that were cancelled so the calendar stays accurate
- Agree on what goes on it as a family — some families use it for everything, others only for events that involve multiple people
A shared calendar works best when everyone agrees to actually use it. Suggest it at a family gathering or group chat and let everyone add themselves — the more people participate, the more useful it becomes.
Asking a Family Member to Set It Up for You
If the setup feels complicated, just ask a younger family member to:
- Create the shared calendar in your name
- Invite everyone else
- Show you how to add a new event
Adding events is far simpler than setting it up. Once it's created, maintaining it takes just seconds.
